Event budgets

As events vary in theme, scale and venue, so do the costs. With so much variety available, its simply not possible to quote costs here, although its fair to say that performance-related costs* for small events generally fall within the £1,000-£4,000 bracket, medium to large events £5,000-15,000, and larger multi-period shows or other more ambitious projects costing more.  One thing's for sure, we always offer exceptional value for money, and you'll probably be surprised at how reasonable our costs are bearing in mind the quality of show you'd get and how many performers may take part. Let us know the sort of thing that you have in mind - or the ball park budget you are aiming for  - and we can give you a quote.   * Excluding venue costs such as marketing, staffing & infrastructure.

Costs are primarily divided into four areas;

These can vary according to the agreed split of responsibilities (please see below). "Our" part of the budget usually covers the first two categories..

Payment terms

EventPlan sometimes requires a modest deposit to fund work in progress, but most of our costs are invoiced immediately after the event. Payment is normally due within 30 days of receipt of our invoice, mainly so we can pay the performers & groups promptly. Payment terms form part of our contract with clients.

Responsibilities - who does what?

Over the years, we have found that most clients seem to prefer a similar division of responsibilities, based around the most cost effective use of everyone's time and experience. Usually, we are responsible for all the performance related activities and work, whilst clients concentrate on visitor facilities including ticketing, associated staffing, and marketing. Its a logical breakdown of work based on who is likely to be the most experienced in what field - venue staff for instance are far more likely to understand their property's needs and quirks, just as we do the performers and theirs.  However, we can if wished advise on any of this and if preferred, carry out most of the work (as we did for The Battle of Orgreave, for example, where there wasn't an established venue with staff)...its entirely up to you.

EventPlan staff/equipment are not normally present at very small events, or those where we are booking performers on behalf of clients organising their own event.
